The documents included in the case file vary from country to country and, in Spain, from one region to another. However, these documents regularly include the adoption application, the suitability certificate (which confirms that the applicants are able to adopt), as well as otheradministrative, criminal, medical and tax certificates. Specifically, the file must include the birth certificate and national identity card, a criminal record certificate issued by the Ministry of Justice, a medical certificate describing the adopters’ state of health, a certificate confirming registration with the Social Security system or Special Schemes, and income tax return details from the Tax Agency. In some countries, adoption is only possible for married couples, so the marriage certificate and family record book must also be included.

When is a Translation of the Adoption Case File Required?

Adoptions can be national or international. In the first case, there is no need to translate the case file, as the documents were issued in the same country where the adoption application and legal procedures are being carried out. However, in international adoptions where the adopters and the child do not have the same nationality or habitual residence, the adoption case file must be translated into the language of the country where the adoption procedures will take place.

Who Should Carry Out the Translation?

For the translation to be considered valid and accepted by the country where the adoption takes place, the adoption case file must be translated by a translator. But who is considered a sworn translator? A sworn translator is a professional appointed by the Ministry of Foreign Affairs and Cooperation after passing the relevant examination. They are authorised to translate documents in the language for which they are accredited, mainly legal documents, but also administrative, medical and tax documents, such as those included in an adoption case file. Their translations are considered official by the authorities. By using their stamp and certification, they guarantee that their translations are accurate and faithful to the originals, as provided for in Article 18 of Royal Decree 724/2020 of 4 August, approving the Regulations of the Office for Language Interpretation of the Ministry of Foreign Affairs, European Union and Cooperation (“Sworn Translators and Sworn Interpreters shall certify, by their signature and stamp, the difelity and accuracy of their work”).

Costs of Translating the Adoption Case File

As mentioned above, the adoption case file contains many documents, so it tends to be quite lenghty. However, this should not be a cause for concern regarding the cost of translation, as many of the documents in the adoption case file are very short and do not exceed one page (e.g. the national identity card). The cost is usually calculated based on the total number of words, taking into account all the documents that make up the case file. The word count is then multiplied by the previously agreed rate, which mainly depends on the language combination. In fact, translations into languages such as English are usually less expensive than translations into languages such as Chinese, Arabic or Slavic languages, among others.

At Translinguo, we work with many professionals who can help you with the sworn translation of your adoption case file, so you can make your dream of growing your family a reality.
